Separate facts, files, and explanations
These three request types need different completion rules. A quantity is a fact, a permit scan is a file, and a description of an aggregation method is an explanation. Treating them all as attachments makes it difficult to tell whether a gap is actually resolved.
Give every request a business object
A response is useful only when it can be linked to the product, batch, shipment, producer, production unit, or plot it supports. Include stable identifiers in the request and require the supplier to confirm the association.
- Commercial records: product, quantity, country, period, order, and shipment.
- Traceability records: supplier, producer, processor, batch, split, merge, and transformation.
- Geolocation records: plot ID, source format, CRS evidence, and production association.

Protect confidential upstream relationships
A supplier may need an upstream party to provide plot or legality evidence without revealing that party’s data more broadly. Route the task to the upstream contributor and return only the agreed completion state or evidence to the buyer.
Close the loop with a resolution record
Do not delete the original issue when evidence arrives. Record who reviewed the response, what source resolved the gap, what changed, and whether any narrower limitation remains.
