A useful EUDR workflow keeps the commercial product, candidate CN code, material composition, source documents, batch transformations, and geolocation evidence connected without turning supplier statements into confirmed facts.

Start with the commercial product and candidate CN code
Define the item being placed on, made available on, or exported from the EU market before collecting every document in the chain. Record the invoice description, SKU, candidate CN code, material composition, quantity, supplier, buyer, and relevant activity. Furniture, panels, paper, pulp, and mixed-material products can contain several wood inputs, so keep the classification candidate and the evidence supporting it versioned. If the product description or composition changes, reopen the scope review instead of silently reusing the earlier result.
Preserve species and harvest evidence as sourced facts
Capture scientific and common species names exactly as supplied, together with the document, page, row, or declaration that supports each value. Do the same for country of production, harvest or production period, permits, concession references, and producer identity. Extracted text is not automatically confirmed evidence: a reviewer should compare material facts with the source, record conflicts, and name the person who accepted or corrected the value.
Trace split, merge, and transformation events
Wood can be sawn, dried, combined, veneered, pulped, converted into panels, or assembled into furniture. Model each material handoff and transformation instead of forcing the final product to point directly to an undifferentiated supplier list. For every split or merge, retain upstream batch identifiers, quantities, dates, processor records, and the rule used to connect the transformed output to origin evidence. Unexplained quantity differences and broken batch links should remain visible issues.
Connect plots to the correct producers and batches
Validate the structure and coordinate ranges of every plot file, but also confirm what each geometry represents. Keep a stable plot identifier, source-file version, producer or concession link, country, and the batch or material flow that depends on it. Duplicate features, missing plot identifiers, axis-order errors, invalid boundaries, and plots with no business association are different problems and should not be collapsed into one pass or fail result.
Review supplier submissions without losing provenance
When suppliers send spreadsheets, declarations, certificates, permits, or plot packages, store the originals before normalizing values. Ask only for named gaps and preserve the submitted version, sender, time, and visibility boundary. If two documents disagree on species, country, producer, quantity, or plot coverage, show the conflict beside both sources. Do not overwrite the earlier evidence with the preferred answer.
Freeze a reproducible filing snapshot
Before DDS handoff, rerun affected checks against the selected versions and separate blockers, warnings, and accepted limitations. The resulting submission materials should point back to confirmed facts, validated plot data, source references, mapping versions, and the responsible reviewer. If evidence or decisions change later, create a new snapshot and export rather than editing the historical Filing Pack in place.
